Cancellation & Refund Policy

Bsport – Pilates & Clinical Gym

  1. Cancellations
    All group sessions (except perinatal passes) have a 6 month expiry date from first booking. For perinatal clients please contact us at hello@wavesleuven.be if your pass expires and we will happily extend it. There is no expiry date for private sessions that are purchased. Group sessions must be cancelled >12 hours in advance to the start of your session. Private sessions must be cancelled >24 hours in advance to the start of your session. All these cancellations can be done by the client via the Bsport booking system. Cancellations within these time period will incur the use of the session’s pass.
  2. Refunds
    WAVES will always make it’s best efforts to ensure an excellent customer experience. Refunding unused passes and classes are not possible.
  3. Subscriptions/Memberships
    A subscription taken out with WAVES is always at minimum for 2 months. After this term it can be cancelled anytime, but at the latest 5 days before the renewal date by emailing this request to Hello@wavesleuven.be. If the request for termination is requested in time, the following month will not be charged. If a refund is requested due to user error, an administrative fee of €15 will be charged.  Users of a subscription adhere to the same cancellation rules for late cancellations of their group sessions as normal pass users. When a group class is cancelled within the 12 hour time frame of the start of the class – and this happens more than once a month – a €10 fee will be added to the Bsport internal balance of the user.
  4. Buying of Passes
    Every member is allowed to buy one 10-pack for group sessions and privates at the time. A new 10-pack can be bought once more than 5 have been used from their current 10-pack

Crossuite – Health: Physiotherapy, Osteopathy, PMT 

  1. Cancellations
    To ensure optimal utilization of available treatment slots and to respect our therapists’ time, we kindly request that all appointments between therapists and clients be canceled at least 24 hours in advance.If a cancellation occurs within the 24-hour window, the full session fee will be charged at your next appointment. Cancellations for health sessions can be made by calling our telephone line at 016/58.04.14 or by sending an email to hello@wavesleuven.be.Thank you for your understanding and cooperation!

Insurance Policy

Bsport – Pilates & Clinical Gym

  • All participants of group- and individual Pilates and Clinical Gym sessions at Waves are insured by KBC Insurance in case of injury during these classes. In case of clear malpractice or -judgment of the instructor, leading to the participants injury, the instructors’ Occupational insurance is held liable for the costs of the injury.

Crossuite – Health: Physiotherapy, Osteopathy, PMT

  • All clients are insured by the Occupational insurance of their specific therapist during their treatment session at the Waves clinic. These insurances cover injury that occur due to any clear malpractice or -judgment of their respective therapist. Injuries that might arise due to coincidence or bad luck during their treatment session, are insured by the Waves KBC insurance as stated in the section above.
  • All Belgian therapists have a legal and ethical obligation to provide their best possible care to every individual client. This however does not result in a guarantee of therapy success.

In case of an injury Waves will take the following steps:

At the time of injury

  1. The client is tended to by the Waves personnel in order to maximise comfort of the client.
  2. The necessary steps are taken to initiate the further care of the client. Family will be informed and ambulance will be called if necessary by Waves personnel.
  3. A injury report will be written by Waves personnel so that the exact details of the injury are noted down for the clients’ health insurance and the KBC insurance of Waves.

After the injury

  1. The client is asked to send it’s relevant information through to hello@waveleuven.be in order for Waves to file the insurance report
  2. The injury report and clients details are send through to KBC insurance.
  3. All further steps and communications run through the hello@wavesleuven.be channel
